Manage Users

User Roles

When you add new users to Bento, you will need to define their roles. User role will determine what permission the user has to access and publish survey data and create new users. There are two types of Bento users that you can add to your Bento organization:

  • National users: The majority of users will be national users. These users can view final, published surveys, but they can’t upload any data to Bento or create other users.

  • Organization admin: These users can view published and draft surveys, upload survey data, and add other users.

Add a New User

Organization admin users can create new user accounts. To create a new user:

  1. Go to https://bentobento.info/login and log in to your Admin account

  2. Hover over the Admin tab and click on “Add & Manage Users”

  3. Click the first icon from the top left bar (above the Username field) to add a new user

  4. Fill in the information for the new user in the pop-up window

  5. Click “Save changes”

When you create a new user, you will need to include the following user information:

  • Username: the user’s email address that they will use to log into Bento

  • First name

  • Last name

  • Role: users will either be a national user or an organization admin. See the section above, “User roles,” for more information

  • Organization: users will be able to view all of the surveys associated with their organization; this is the name of the private workspace within Bento that has been created for your organization, not necessarily the name of the real-life organization

  • Institution: the name of the organization the user works for

Bulk User Creation

An organization admin can create multiple new Bento users at once using a batch upload process. To create multiple users at one time:

  1. Fill out the batch upload template with information about all new users. See the above section “Add a new user” for more information about each column of data in the batch upload template.

    1. Note that the user organization must exactly match the name of the user’s organization in Bento

    2. Roles should be noted as either NATIONAL_USER or ORGANIZATION_ADMIN

  2. Download the batch upload template to your computer as a csv file

  3. Once you have filled in all of the columns with your user’s information, go to https://bentobento.info/login and log in to your Admin account

  4. Hover over the Admin tab and click on “Add & Manage Users”

  5. Click the second icon from the top left bar (above the Username field) to add a batch of users

  6. Select the batch user upload icon in the black menu bar

  7. In the Create Users Batch pop up, click Upload File and select the file that you created previously

  8. Click Create Users

Managing multiple organizations

If you are the admin for multiple organizations within Bento, double check that the correct organization is selected before creating new users or uploading new survey data. When you upload new survey data, you will need to specify which organization the survey will be published too—all users who have been granted access to that organization space will then be able to view the survey. Similarly, when you create new users, you will need to select the organization that each user belongs to (either in the batch upload template or from the organization dropdown list when creating an individual user in Bento) to grant them access to the surveys associated with that organization. To keep your data secure, it is critical to ensure you’ve selected the correct organization.

Manage Surveys

Filter Category

Bento allows users to filter and segment survey data. These filters fall into three categories:

  • Location filters: Users can filter survey data based on the state where the respondents live or work. For example, users could filter the survey to see responses only from respondents who live in California.

  • Attribute filters: Users can filter survey data based on a characteristic of the respondent or their workplace. For example, users could filter the survey to see responses only from respondents who work in a school with more than 1,200 students.

  • Question filters: Users can filter survey data based on how respondents answered any other question in the same survey, so long as those questions meet the following guidelines:

    • No A-type, R-type, or T-type (text entry) questions

    • No G-type questions that have more than 10 rows

    • No questions which depend on the respondent’s selections in a previous question (e.g. “Of the curriculum you selected in the previous question…”

Color Schemes

The color scheme used for each chart in Bento depends on the type of survey question being visualized. For G-type (grid) and S-type (single choice) questions, the color scheme is customizable as one of three schemes:

  • Gradient: For questions where the response options fall into a range, the response options will display in a gradient from lightest to darkest. This is the default color scheme in Bento.

    • For example, questions like “How frequently do you use a given curriculum” or “How many years have you been teaching” would be considered gradient.

  • Discrete: For questions where the response options have no ordinal value among each other, the response options will display as non-gradient colors.

    • For example, questions with options for male, female, and prefer not to answer; or a variety of subjects in response to "What was your undergrad degree in?" would be considered discrete.

  • Range Positive: For questions where the response options can be clearly divided between "negative" and "positive" (with the possibility for a neutral/middle option, as well as an "N/A" option), the response options will display as a gradient from red (most negative response option) to blue (most positive response option), with the neutral/middle response option displayed as a light yellow.

    • For example, Yes/No questions, Likert scale questions, and anything where the value judgment is clear would be considered range positive.
